This Privacy Policy explains how Vocab Vaults ("Vocab Vault," "we," "us," "our") collects, uses, and shares information when you visit vocabvaults.com (the "Site"), subscribe to our emails, or buy our products.
1. Information we collect
Information you give us
• Name and email address (when you sign up, check out, or contact us)
• Billing information (processed by our payment providers — we do not store full card numbers)
• Messages you send us
Information collected automatically
• Device and browser type, IP address, approximate location, pages viewed, and referring site
• Information from cookies, pixels, and similar technologies
Information from others
• Payment confirmations from Shopify and payment processors
• Basic analytics from platforms such as YouTube and Facebook, if you arrive from our content
2. How we use your information
• Process orders and deliver your digital products
• Send order confirmations and download links
• Send marketing emails if you signed up (you can unsubscribe anytime)

• Improve our Site and products

3. How we share information
We do not sell your personal information. We share it only with:
• Shopify, which hosts our store and processes payments
• Service providers who help with email, analytics, and file delivery
• Advertising and analytics partners (such as Meta and Google), where you have allowed cookies
• Authorities, when required by law or to protect our rights
4. Cookies
We use cookies to run the store, remember your cart, and understand how the Site is used. You can control cookies in your browser settings or through our cookie banner where available. Blocking some cookies may affect how the Site works.
5. Email marketing
If you subscribe or download the free starter pack, we'll send you emails about new words and products. Every email has an unsubscribe link.
6. Data retention
We keep order records as long as needed for accounting, tax, and legal purposes. We keep marketing data until you unsubscribe or ask us to delete it.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of targeted advertising. To make a request, email info@vocabvaults.com. We will verify your request and respond within the time required by law.
California residents: You have the right to know, delete, and correct your information, and to opt out of the "sale" or "sharing" of personal information. We do not sell personal information.
EEA/UK residents: We process your data to perform our contract with you, based on your consent, or for our legitimate business interests. You may also complain to your local data protection authority.
8. Children's privacy
Our Site is intended for adults. Kids English products are sold to parents, guardians, and teachers. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
9. Security
We use reasonable safeguards to protect your information. No online system is completely secure.
10. International transfers
We are based in the United States. Your information may be processed in the U.S. and other countries where our service providers operate.
11. Changes
We may update this policy. The "Last updated" date shows the latest version.

13. Vocab Vault Writing Coach
This section explains how the Vocab Vault Writing Coach at coach.vocabvaults.com (the "Coach") handles your information. It adds to the rest of this Privacy Policy.
What the Coach stores
• Your writing. When you check a piece of writing, we save a copy (up to 4,000 characters) so the Coach can track your progress. We keep your most recent 200 checks.
• Your learning profile. This includes your estimated English level, the types of mistakes you make with short examples, your Word Vault words and practice sentences, your lessons, your Writing DNA card, and your practice streak.
• Your email address, only if you choose "Save your progress." We use it to send you sign-in codes. We don't send marketing emails from the Coach.
• A sign-in key on your device. Your browser stores a random key that keeps you signed in. We store only a scrambled (hashed) version of it, and of your sign-in codes, which expire after 10 minutes.
• Usage counts. We count how many checks you use each day and week to apply free-plan limits. To prevent abuse, we briefly keep a count of new accounts created from each network (IP) address per day.
Photos
When you use "Snap your pages," your photo is shrunk on your device and sent to our AI provider to read the text. We don't save your photos. Only the text you confirm and check is stored, as described above. Photos you take may show other people's names or details, so please crop or cover anything private before sending.
Who processes your information
• Anthropic, our AI provider, receives the text, photos and learning history needed to check your writing and answer your questions. See Anthropic's privacy policy at anthropic.com/legal/privacy.
• Cloudflare hosts the Coach and its database and keeps short-term technical error logs.
• Resend sends sign-in code emails.
We don't sell your information and we don't use it for advertising.
Deleting your information
• Vault → Erase my history permanently deletes your saved writing, learning profile, Word Vault, lessons and Writing DNA card.
• To also delete your email address and account, email info@vocabvaults.com and we'll delete it within 30 days.
Other people's writing
If you check text someone else wrote (for example, an email you received), please remove private details first. Text you mark as "Someone else" wrote isn't added to your progress, but the checked text is still sent to our AI provider.
